Directory and departments

The people overview, and how departments organize your workspace.

The Workspace page is where admins manage people. It has four tabs:

  • Directory — a people overview of everyone doing the work
  • Departments — create departments and assign a manager to each
  • Invitations — send and track invites (see Invite your team)
  • Tools — the tools your workspace uses

The Directory

The Directory is a searchable list of the members in your workspace. Each row shows the person's name, their role or job title, their department, their assigned programs, and the points they've earned.

You can:

  • Search by name, role, or department
  • Filter by a specific department, by Managers, or by Pending (people who haven't finished onboarding yet)

At the top, summary tiles show total members, how many have completed onboarding, how many are still pending, and how many departments you have.

The Directory lists members — the people who follow programs and do the work. Admins run the workspace but don't appear in the member directory, so the member count and your billing seat count can differ. See How seats are counted.

Departments

Departments group members so you can organize your workspace and give each group its own manager. Every member belongs to a department.

Create a department

On the Departments tab, choose Create department, give it a name, and optionally add a short description. Department names must be unique within your workspace.

You can open a department to fill in its profile — goals, pain points, workflows, tools, and priority skill areas. Goals are required before a profile can be marked complete.

Assign a manager

Open a department and assign a manager from its members. A manager is a member you give oversight of that department — they get a read-only view of how that department is progressing. See Roles for what a manager can do.

A few rules to know:

  • A department has one manager at a time. Assigning a new manager replaces the previous one.
  • Only active members can be made managers. Admins already have full access, so they aren't assignable as managers.

Archive a department

You can archive a department once it's no longer needed. A department can't be archived while it still has active members or pending invitations attached to it — reassign or remove those first. Archiving also clears the department's manager.
